Voxa Estate
Voxa Estate for letting agents

Repairs and compliance software for letting agents

Tenants report repairs on WhatsApp. Alex triages each report into a job in your inbox and asks your own contractors first. Nothing is booked unless a person approves it, or a rule your team has set allows it.

  • Recorded certificates and closed jobs are sealed: hash-chained and externally timestamped
  • Every property's compliance status in one place
  • A portal link and a monthly report for each landlord client

How a repair runs

Three steps, from a tenant's message to a sealed record.

  1. 01 · Setup

    Bring your portfolio in

Import properties and tenancies from a CSV or Excel export, add your contractors, and invite your team.

  2. 02 · Every report

    Alex runs the repair

A tenant reports on WhatsApp. Alex triages it into a job, asks your own contractors first and chases them for a quote and a time. Your team approves the quote, unless a rule your team has set approves it.

  3. 03 · As it closes

    The record keeps itself

When a job is closed or a certificate is recorded, that entry is sealed into the property's record: hash-chained and externally timestamped.

The record

When a job closes, the record is sealed

What is in the sealed record today, how an entry is sealed, and what the record does not cover yet.

  • What the record seals

Each certificate you record and each job when it is closed.

  • How an entry is sealed

Each entry is hash-chained to the entry before it, and the chain is externally timestamped every day by an RFC 3161 timestamping authority.

  • What the record does not seal yet

Triage, contractor messages and quotes are not sealed into the record yet.

  • A separate audit log

Owners and admins can see who in your agency changed what and when, filter it and export it as CSV. It is an operational log, kept apart from the sealed record.

What your team gets

Compliance, landlord clients and your team, in the same place

  • One inbox for every repair

Every tenant report lands as a job in a shared queue. Assign it, filter it and see what is waiting on whom.

  • Your contractors first

Alex asks the contractors in your own book before anyone else and chases them for a quote and a time. Routine messages to contractors wait until quiet hours end. Emergencies, and replies in a conversation already under way, can go out at any hour.

  • Your agreed rates beside each quote

Where you have agreed rates with a contractor, each quote shows how it sits against them.

  • Spend limits per landlord client

Set how much your agency may spend without asking the landlord, for the whole agency and for each landlord client. A quote over the limit goes to the landlord to accept or decline, from their portal or an emailed link.

  • Compliance per property

See each property's certificates and what is missing or expiring, across the whole portfolio.

  • For your landlord clients

Give each landlord client a portal link to their properties and send them a monthly report.

  • Your whole team

Invite admins, managers and viewers. Seats are included in the unit price.

Fits your stack

Keep your current system. Start from its export.

  • Start from a spreadsheet

Import properties and tenancies from the CSV or Excel export your current system already gives you.

  • Your compliance position from your export

Once you have signed in, upload your system's property export and see, for each property, which duties apply and what the export says about each certificate. It is a preview: nothing is imported or saved.

  • Arthur Online and Xero: coming soon

Direct connections to Arthur Online and Xero are not available yet. Until then, bring your Arthur Online properties and tenancies in from a CSV export. Voxa never pays anyone.

Questions

Questions agencies ask

Does Voxa Estate replace my property management system?

No. It works alongside it. You import properties and tenancies from a CSV or Excel export of your current system.

Whose contractors does Alex use?

Yours first. Alex asks the contractors in your own contractor book before looking further, and a quote is booked only when a person approves it or a rule your team has set allows it.

Do tenants need to download an app?

Only WhatsApp. Tenants message Voxa's shared repairs number from the mobile number on their tenant record.

How do tenants report a repair?

On WhatsApp. Each report becomes a job in your inbox, and your team can log a repair itself, for example one a tenant phoned in.

What does sealed mean?

A sealed entry is hash-chained to the entries before it and the chain is externally timestamped by an RFC 3161 timestamping authority. Today that applies to recorded certificates and to jobs when they are closed.

Can we keep our own WhatsApp number?

Not yet. Tenants message Voxa's shared WhatsApp number.

What counts as a unit?

The units in your portfolio that are not archived, counted when you start billing. Below 60 units you pay the 60-unit minimum.

How is it billed?

£5 per unit per month, billed monthly. Team seats and landlord client portals are included. You can cancel from your billing page.

Do you work outside the UK?

Agencies in Ireland can join as a pilot, for repairs only. Compliance tracking is for UK properties.

Where is my data held?

In the EU.

Is there a data processing agreement?

The data processing terms are pending legal review. You will see the final text in full before you are asked to rely on it.
